These terms and conditions were last updated on 16 January 2024. These conditions apply to all bookings and transactions made after this date.

CANCELLATION or TRANSFER of BOOKING by a CLIENT

We strongly recommend that at the time of booking, you take out holiday insurance. The policy should cover the possibility of you having to cancel or change the dates of your trip with Xplore Britain. Xplore Britain is not responsible for compensating clients who do not take out insurance.

REVIEW YOUR TRIP CANCELLATION POLICY AT THE TIME OF MAKING THE ORIGINAL BOOKING. You must purchase this policy yourself and its value should include your complete holiday payments before, during and after your holiday with Xplore Britain. We will presume that if you select not to take out trip cancellation insurance then you accept that you may be considerably out-of-pocket if you do cancel the Xplore Britain trip at a later stage.

Our independent inn to inn tours are quite complicated and time consuming to put together (and cancel if required). Each accommodation along the route will charge us the first night's bed & breakfast rate, whether you turn up or not. Any additional nights booked with them may only be refunded if they can re-let the rooms. When we have sent the complete tour package to you, all payments have been made and all of our booking services that you have requested have been provided. There is no refund payable by us after the tour package distribution date.

Any cancellation or change of existing booking must be made in writing and is effective from the date received at our office.

All your payments to Xplore Britain up to the start of the tour are used to pay deposits and final payments at all the places you stay at, for services required along the route and for our own services and overhead initiating your booking request. 

Any refund will always be made in Pounds Sterling either by a sterling cheque or by PayPal. Please be aware that in both cases if you transfer the payment into another currency account, your bank or PayPal will charge fees for this service.

Booking a Holiday

Upon confirmation of your holiday a deposit of 50% of the tour price will be invoiced immediately. The balance of your holiday must reach us 2 months before the start of the holiday; otherwise we cannot guarantee to hold your booking. Where a booking is made less than 2 months before the start day of the tour, the full amount is payable at the time of booking.

Payment for our tours is done through PayPal or direct wire transfer payable in UK Pounds Sterling. If you would like to pay by wire transfer we will provide the account information.  Please note; unless we have received full payment in sufficient time to verify the funds, your tour is NOT confirmed.

Package Tour Regulations: In accordance with "The Package Travel, Package Holidays and Package Tours Regulations 1992 Act", all monetary payments made to us for your holiday are held in a Client's Trust Account. This money is not available to Xplore Britain until the completion of your holiday, your cancellation or your written authorisation before the tour completion date.

Upon receipt of your booking we will reply with confirmation and the trip information sheet, usually within 7 days.

Once again we strongly suggest taking out travel insurance at the time of booking. Xplore Britain will not be responsible to reimburse clients who cancel their tours without travel insurance.

 

 

 

 

What is included in the tour price?

The tour price includes value-added tax (VAT) at 20% where applicable. This is not refundable, because the VAT is for a service used within the EEC. On the self-guided independent tours, accommodation with breakfast is included unless otherwise indicated.

Also included are a route description package (provided by email), and the moving of luggage (where applicable) between overnight accommodations. Navigation will also be provided using the Komoot phone application. Clients who want to use the navigation will need to download the app, make a small upgrade purchase and take some time to familiarize themselves with how to use the app prior to the trip.

Breakfast is included in the tour cost. While we endeavour to book accommodations that include breakfast this is becoming increasingly more restrictive. Should there be times when breakfast is not included you will be provided with this information in advance and the tour cost will be adjusted to reflect the change.

You will have additional charges for your own meals and beverages (other than breakfast), tourist site entrances, souvenirs, non included travel, etc.  Please budget for these accordingly.

Linking Tours

If you are considering taking two or more tours, it is possible to travel between most tours by public transport in a day.  As our tours can be customized to suit your needs we will be very happy to work with you to come up with a full tour itinerary including arranging for any transfers that may be required between tours.  Many of our tours can also be linked together negating the need to organize a transfer between them. 

We recommend that you do not attempt to journey to either end of the country or to another country in a single day.

Group Tours

We often arrange activity tours for private parties and tour operators. Let us have details of your requirements.

Because of fire regulations please note the guesthouse accommodations we use on the independent tours are generally limited to 4 people.  If your group is larger we may occasionally be required to split the group between more than one guesthouse or use alternate accommodations such as larger inns or hotels.

Complaints

We receive very few complaints. However should you have cause for dissatisfaction while you are on holiday please tell the accommodation immediately and Xplore Britain as soon as possible so that we can attempt to resolve the problem quickly.

Richard - our trip is completed, and the "after-action" report is a big TEN!  You did an excellent job of selecting places to stay and just everything.  I could tell the people at the inns like you too, because they don't always let people stay for just one night.  We had good weather - cool, but great for riding, and no rain - everything went as planned.  We were always able to find our inns with a bus or public transportation , or walk, so we did fine on that.  We'll probably plan something else in another yr or so - so keep us posted of anything fun and interesting that you have that is new.  And the plus was when we got to Fort William they were having the World Championship Mt Bike event and we got to see the course and watch some of the teams practicing....I'm sure you planned that into the trip.  ???  ha
